Recruitment & Admissions Coordinator
The Job’s Mission
The Recruitment & Admissions Coordinator provides essential administrative and operational support to ensure the smooth execution of admissions and financial aid processes. This role works closely with the Admissions & Financial Aid Manager to maintain systems, coordinate events, and facilitate communication with applicants, alumni, and internal stakeholders.
Key Activities & Accountabilities
- Assist with application intake, data entry, and document verification.
- Coordinate scheduling and logistics for admissions interviews and candidate assessments (virtual and in-person).
- Support the organization of admissions committees and track decision outcomes.
- Maintain accurate records in admissions systems (e.g., CRM, SIS) and ensure timely updates.
- Liaise with alumni interviewers and assist with onboarding and training logistics.
- Monitor incoming financial aid applications and ensure completeness of documentation.
- Support the award process by preparing summaries and tracking decisions.
- Assist in compiling financial aid reports and maintaining scholarship records.
- Coordinate communication with applicants regarding financial aid status and next steps.
- Provide logistical support for campus-based and virtual recruitment and admissions events.
- Manage event registration, materials preparation, and post-event follow-up.
- Assist in compiling admissions funnel metrics and financial aid impact reports.
- Ensure data accuracy and compliance with institutional and data protection standards.
- Contribute to process improvement initiatives by identifying operational bottlenecks.
- Perform other tasks to support recruitment & admissions as needed.
Education
- Bachelor’s degree or equivalent experience in administration, education, or related field.
Experience
- Previous experience in admissions, enrolment management, or student services preferred.
- Experience organizing virtual and in-person events, including logistics and registration.
- Experience maintaining records in CRM or SIS systems and ensuring data accuracy.
- Exposure to scholarship or financial aid administration is a plus.
- Experience compiling reports and tracking key performance indicators.
Competencies
- Ensuring accuracy in data entry, document verification, and compliance with standards.
- Ability to manage multiple tasks such as scheduling, event coordination, and record maintenance.
- Prioritizing tasks and meeting deadlines for admissions and financial aid processes.
- Clear and professional communication with applicants, alumni interviewers, and internal stakeholders.
- Providing responsive and helpful support to applicants and participants.
- Familiarity with CRM, SIS, and other admissions or financial aid systems.
- Ability to compile reports, track metrics, and identify process improvements.
- Working effectively with admissions committees, alumni, and cross-functional teams.
- Identifying operational bottlenecks and contributing to process improvements.
- Handling sensitive applicant and financial data in line with data protection standards.
- English fluent; Good command of French or other languages are an advantage
- Good written communication skills
- Computer literate (MS Office)
