Client Liaison and Program Coordination Lead
The Job’s Mission
Under the umbrella of the Program’s Operation’s department, the Client Liaison and Program Coordination Lead will act as a trusted partner to Professor Didier Cossin combining top tier Executive Assistant excellence with a proactive tech savvy mindset, providing first-in-class support.
Support includes Faculty Assistant tasks as well as project management to support business growth in relation to Board Partnerships or new Programs.
Key Activities & Accountabilities
Faculty Assistant
• Carry out general secretarial and other duties as required
• Prepare teaching materials and help for document or database researches
• Provide support in the Faculty’s agenda management
• Organise logistics for internal and external meetings
• When required assist in meeting with clients, take minutes and provide general support
• Organise travel and complex travel planning: reservation of flights, accommodation, visas, etc.
• Manage expenses claims timely and accurately
• Provide support during workshops and events on campus when required
• Provide support to Faculty during online events/programs when required
Project Management
• Organise network of contacts and ensure engagement quality and follow ups.
• Coordinate meetings with clients, prospects, partners and senior stakeholders, including briefing preparation, note-taking, action tracking and follow-up.
• Contribute to business development activities by supporting lead identification, client/prospect tracking, proposal preparation and relationship management.
• Help structure and maintain client, partner and opportunity databases, ensuring information is up to date and easily accessible.
• Support the development of new programs, initiatives or partnerships by coordinating timelines, contributors, deliverables and internal approvals.
• Liaise effectively with internal teams such as Program Operations, Global Board Center, Marketing, Sales, Finance, Faculty Support and Research & Development to move projects forward.
• Prepare, edit and format high-quality documents, presentations, reports and communication materials for internal and external audiences.
• Proactively identify opportunities to improve ways of working, increase efficiency and provide flexible support across a wide range of evolving priorities.
Education
• Bachelor degree in Hospitality, Management, Public Affairs, etc
Experience
• 2–5 years’ experience in administrative or coordination roles, ideally in an international and fast paced environment
• Exposure to senior stakeholders (e.g. executives, clients, faculty) is a plus
• Demonstrated ability to manage multiple priorities with autonomy and high standards
• Strong digital literacy, with interest or experience in using AI and productivity tools

• English C1+ level (written and spoken). Conversational French.
